# Privacy Notice
**Seller:** LessonCaption, operated by the main company. This notice explains personal information handled through the webinar transcription and caption-file service. It applies when published. The service will not accept recordings until an active privacy/support contact, provider arrangements, and the stated processing safeguards are in place. Do not email or upload recordings as a substitute for the service.
## Information and purposes
We may process account and contact details, subscription and transaction records, support messages, usage and diagnostic data, uploaded audio/video, transcripts, captions, speaker labels, and information spoken in a recording. Account and billing data are used to create and administer subscriptions, prevent fraud, provide support, and meet legal obligations. Recordings and derived files are processed to produce and deliver the transcript and SRT/VTT captions you request, maintain the service, and investigate technical or security problems. We do not use recordings to identify speakers biometrically, infer sensitive traits, or target advertising. Please do not upload children's information or sensitive data unless expressly permitted and necessary.
## Roles and lawful handling
For account, security, and billing administration, LessonCaption determines purposes and means of its own processing and acts as a controller/business where the law uses those terms. For recording content processed only on a customer's instructions, LessonCaption generally acts as a processor/service provider; the customer is responsible for lawful collection, notices, authority, and consent. We rely on the applicable lawful basis for each activity, such as contract, legitimate interests, consent where required, or legal obligation. Where GDPR/UK GDPR processor terms or transfer safeguards are required, they must be agreed and in place before the affected recordings are accepted. We do not claim that this notice alone establishes compliance.
## Service providers and transfers
We use service providers to host the service, take payment, provide support, and transcribe audio. The planned transcription provider is Deepgram. Recordings may be sent to Deepgram only after applicable terms, retention controls, and its model-improvement setting have been reviewed and configured; otherwise uploads remain disabled. Provider processing can involve locations outside your country. Before accepting recordings from a location, we will use any transfer mechanism and safeguards required by applicable law or restrict that service. A current provider list and relevant processor terms will be made available through the service or on request before upload. We do not sell personal information or share it for cross-context behavioral advertising as those terms are defined by applicable US state laws.
## Retention and security
Our intended retention schedule is to delete source recordings within 30 days after delivery, and to delete transcripts and caption outputs within 30 days after an account closes, unless you request earlier deletion, a longer period is needed to provide an active service you request, or law requires retention. Account and transaction records may be retained for legally required accounting, tax, dispute, or fraud-prevention periods. Short-lived backup copies may persist for up to 90 days after deletion before routine overwrite. The service must publish a working deletion request channel before accepting uploads. We use reasonable technical and organizational measures to protect information, but no transmission or storage system can be guaranteed secure.
## Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, obtain a copy of, or restrict or object to certain processing; withdraw consent; and complain to a regulator. Under POPIA, GDPR/UK GDPR, and applicable US state laws, rights and exceptions vary by jurisdiction. US residents may have rights to know/access, correct, delete, obtain portable information, and opt out of sale, sharing for targeted advertising, or certain profiling; we do not sell or use recording content for targeted advertising. We will not discriminate against you for exercising a right. Make requests through the privacy/contact channel shown on the service; we may verify identity and may need the customer account holder to request deletion of recordings they submitted. If no contact channel is published, the service is not ready to accept personal information. We will respond within legally required time limits and explain any lawful limitation.
## Children, changes, and complaints
The service is not directed to children and is not intended for recordings of children. If you believe a child’s information was submitted, contact us through the service’s privacy channel for deletion. We may update this notice as practices or law change and will give notice where required. You may also contact your local data protection or privacy authority. We will not make recordings available to the public.
